Rules for publishing conference books in the Polish Medical Platform UML Repository - confirming the license in the electronic system
NOTE: This method can only be used by conference organizers who in the conference regulations they included the use of the electronic service for collecting consents and declarations.
1. The person responsible for the report sends an e-mail to the following address: cyfrowa@umlub.pl a message containing at least the following information:
- Message subject: KA/ OJS – registration / provide the name of the conference
- Conference name (plus information whether it is a multi-edition conference).
- Planned title for a book of abstracts.
- Editors and responsible persons, along with contact information. It's necessary to decide on an account for the editor who will be performing activities in the system – whether it should be set up for an individual email address or, for example, for a conference address.
- Information about the language in which the book will be published/abstracts collected (Polish or English).
- Information on preferred opening and closing dates for the call for abstracts.
- License selection (currently you can choose between CC BY 4.0 and CC BY-NC-ND 4.0).
- Abstract guidelines for authors, if different from the default ones.
[In the absence of other guidelines, the website will display information with default guidelines:
The abstract should include:
- title
- list of authors and their affiliations
- information about caregivers and their affiliations
- abstract text
- keywords ]
2. In a return message, the applicant will receive confirmation of receipt of the application, along with the following information:
- Link to the subpage on the website created and configured for the conference purposes
- Confirmation of the creation of a technical account on the website, associated with the submitted e-mail address
- Instructions for the editor
- Instructions for Abstract Authors
- Confirmation of the opening and closing dates for the call for abstracts
Prepared files with a license agreement, which should be linked to the conference website and included in the regulations. The agreement must be available for review by users, but with this format for submitting abstracts, signing them is no longer necessary.
3. On agreed dates, the sub-service will provide the option of auto-registration and abstract submission.
4. Library staff will endeavor to adapt the website's configuration to the conference organizers' guidelines, as the system allows. However, the submission approval process is not subject to such negotiations. Therefore, we ask those serving in editorial roles to follow these guidelines and exercise caution when using the website.
5. After completing the consent collection process and verifying the applications in the system, the editors send them to the following address: digital@umlub.edu.pl a book of abstracts for publication in a .pdf file.
Email title: Book of abstracts / conference name
In the body of the email, please include:
- title of the book of abstracts
- conference name (if different from title)
- link to the conference website
- link to the sub-service where the data was collected
- contact details of the person responsible for editorial processes
6. After verifying the compliance of the submissions with the data in the publication, the Library staff will publish the book of abstracts in PPM UMLub, of which the editors will be notified by email.
Information on editing the book
- Essential elements that should be included in the publication:
- cover – should contain at least information about the title;
- title page – information about the title, people responsible for the book (volume editors, graphic designers, etc.), publisher (Medical University of Lublin), license, place and year of publication;
- table of contents – a table of contents linking to a specific work is recommended;
- if sponsor/patron logos are used – the phrase “All names, trademarks and logos appearing in the book are the property of their respective owners and are used for informational and promotional purposes only.”
- Individual abstracts/articles/pieces should have at least the following elements:
- authors and their affiliations (in the case of students for the Scientific Club, if the student does not work in the club – affiliations for the University and field of study)
- title
- job supervisor – with information about affiliation
